  • Appointment reminders with Google Calendar

    The SMS module that can decrease the number of missed appointments and increase your revenue

    There are always reasons to miss an appointment, but one of the most common reasons is just simply forgetting about it. If you want to save time and money and ensure nobody ever misses another appointment, SMS appointment reminders are what you need.

    In this tutorial, you’ll find out how what this module can do and how to set it up:

  • Customize precisely when you send your SMS reminders: a few minutes, hours or days before your appointments;
  • Automate SMS delivery from your Google Calendar(s) ;
  • Add the time and date of the appointment to the body of the message;
  • Add appointment reminders and additional information like the customer’s name;
    (For example: “Mr. Smith, you have an appointment with your GP on 26/06 at 15:00 at 15 Station Road. Contact us on 00000000000 if you would like to cancel your appointment.”)
  • Get SMS replies* from your customers to confirm appointments.

  • Step 1: Sign up

    The first thing you have to do is sign up to our SMS messaging platform. We’ll give you 10 SMS messages to test out our service. This will allow you to:

  • Send automated SMS appointment reminders;
  • Access your account, your account history, and campaign reports ;
  • Access your message responses (keep in mind that you can also receive responses by email).

  • Connect your SMSFactor account to your Google Calendar.

    Step 2: Set up your automatic appointment reminders on our platform

    Firstly, head to the “Reminder” tab and click on “Create a reminder”. You must give your appointment reminder a name. Once done, choose your calendar. Here, we’ll choose « Google Calendar ». Allow SMSFactor to access your Google account. This request is necessary because it allows our platform to access your appointments and send reminders.

    Please note we’ll only use your calendar to send reminders and won’t access any information that isn’t necessary for automatically sending these reminders.

    Warning! Don’t forget to check the box “See, edit, share, and permanently delete all the calendars you can access using Google Calendar” If this box isn’t checked, the appointment reminder won’t work.

    You’ll then be taken to the options page for your reminder. This consists of 4 quick steps:

  • What is your calendar: Choose the Google Calendar you'd like to link to our appointment reminder module;

  • Which input field do you use for your contact number: Choose the field in which you’ll put your contact’s number (place, title, or description);

  • When the SMS should go: Set exactly how far in advance you’d like your message to be sent;

  • What kind of SMS do you want to send: Choose the content of your SMS and personalise the sender if you’d like. You can also personalise the message with the date, title, and description from your Google Calendar if you wish. Choose the format of the date and time if you’re adding it to your message.
  • Now you just have to confirm your appointment reminder! Continue to the next step to try out your first appointment reminder test SMS.

    Step 3: Create an appointment in your Google Calendar.

    You can create your appointments in Google Calendar just as you did before!

    If you have chosen to customise your messages with the information in the fields like “Title” or “Description”, make sure you fill them out.
    Don’t forget to add your customer’s number or your reminders may not be sent. You can also add them to the fields like “Title”, “Description”, or “Location”. In this instance, we’ll choose “Location”.

    Example: “Hello Mrs. Jones, don’t forget your appointment on 25/03 at 8:30 at XXXXX. In the event of any problems, contact us on 0000000000. Have a great day!”
